FY10 General Information & Miscellaneous Instructions

 

Bi Weekly

For HRS bi-weekly payroll there will be 261 work days in FY10 and 2,088 work hours.

 

Additive Assignments

If you currently have someone receiving additives, the assignment should roll into BDS. The assignment for the additive (such as OTR or cell phones for example) should be in the “970 through 989” range. The only thing that needs to be done is to check to make sure the amount is correct and the begin and end dates are correct. If the new person is arriving in the fall and the person is to receive an additive, do not do anything in the assignment portion of BDS. Just fund the position in the “U62” screen and when the EA form is completed upon arrival of the person, the additive will be created.

 

Workstudy Positions

None of the workstudy position numbers were rolled forward into FY08. Financial Aid will create the new assignment in the Fall as the students are assigned. The only thing that needs to be done in BDS is to budget the 30% the department is responsible for into the account and subcode by using screen 711 or 712. This year the subcodes for workstudy are 2450 - Workstudy Community Service or 2470 - Workstudy Student.

 

Work Permits

People who are working in the departments with work permits should only have assignments to the date of expiration of their work permit. Once the work permit is renewed, an EA form should be done to extend their assignment.

 

Faculty Salary For Summer or Long Term Disability Assignments

Faculty who are on 9 and 10 month contracts that need to receive benefits during the summer should have assignments for the summer months for 0.00 FTE and 0.0 Salary. This would also apply to employees on Long Term Disability. If they are to receive benefits while on LTD, they need assignments for that length of time with 0.00 FTE and 0.0 Salary.

 

Hours of Operation

The budget entry systems will be available whenever the SCT production region is operational. These times are:
9:00 AM Sunday-7:00 PM Monday (Does not go down Sunday night)
7:00 AM-7:00 PM Tuesday, Wednesday, Thursday, and Friday
9:00 AM-6:00 PM Saturday

 

Minus Key

In response to comments about the minus key on the numeric pad not working as expected. Follow the steps below to map this key to a new setting that should yield the functionality needed.

 

 

1) From the tool bar at the top of the page, click Options> Terminal Settings> Keyboard Mapping…your screen should look similar to the one we’ve attached.

2) On the Keymap screen, click on the minus (“-“) key on the number pad.

3) The current setting for this key will show in the box on the middle, left side of the screen.

4) Click on the button “Clear Entry”.

5) Change the “Select Function Type:” drop down menu to “Characters”.

6) In the “Function:” drop down menu, click on the function that reads: ‘-‘ (45,0x2D)

7) Once selected, click the “Set” button.

8) Click the “OK” button. If you are prompted to save choose yes. You will probably save it as Default unless you have set up specific keyboard settings under other names.
